Overview


We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with office software. Bilingual skills are a plus, as well as experience with medical or dental reception duties. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.

Duties



Greet visitors and clients at the front desk with professionalism and courtesy Manage multi-line phone systems, direct calls, and handle inquiries efficiently Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools Perform data entry, filing, and maintain accurate records using QuickBooks and other office management software Assist with bookkeeping tasks including invoicing and basic financial record keeping Support office management tasks such as ordering supplies, maintaining inventory, and organizing documents Proofread correspondence and documents for accuracy and clarity Provide customer support through email, phone, or in-person interactions Handle clerical duties such as photocopying, scanning, and maintaining organized files Support personal assistant tasks as needed, including calendar management and travel arrangements

Requirements



Proven experience in office administration or clerical roles; medical or dental receptionist experience is a plus Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace Familiarity with QuickBooks or bookkeeping software is desirable Excellent organizational skills with the ability to manage multiple tasks efficiently Strong phone etiquette and customer service skills; bilingual ability is preferred but not required Attention to detail in proofreading and data entry tasks Ability to work independently with good time management skills Previous experience handling multi-line phone systems and front desk responsibilities is preferred High school diploma or equivalent; additional administrative training or certification is a plus Previous experience in PHYSIOTHERAPY CLINIC is an asset

Job Type: Part-time

Pay: $16.00-$20.00 per hour
