We are seeking a professional and organized Receptionist/Administrative Assistant to join our small but growing bookkeeping company in the heart of downtown Aldergrove . This role is essential in maintaining smooth office operations, providing excellent customer service, and supporting administrative functions for our bookkeeping team. The ideal candidate will have office experience, excellent communication skills, and proficiency with various software tools. It is also preferred that the candidate would have prior experience with the administrative functions of personal taxes.
Duties
Greet visitors and clients at the front desk with professionalism and courtesy
Manage multi-line phone systems, directing calls appropriately and taking detailed messages
Manage incoming and outgoing correspondence (emails, phone calls, mail).
Greet in office clients and assist with general inquiries.
Assist in organizing receipts, invoices, and supporting documents when required from the bookkeeping team
Basic knowledge of social media platforms to create social media posts weekly and monitoring of direct messages etc.
Collect documents from clients (bank statements, receipts, CRA notices, year-end packages).
Ensure client records are complete, properly labeled, and filed in the appropriate systems.
Assist clients with completing onboarding forms or providing required information through our onboarding portal
Process payments via Quickbooks Online or SquareUP when instructed
Track payment status and follow up on overdue invoices, as directed.
Office errands when needed (bank runs, post office, getting mail from local mail box.
Schedule appointments, meetings, and calls for the bookkeeping team.
Scanning, filing and maintaining organized physical and digital filing systems
Prepare and format documents, letters, reports, and engagement agreements.
Maintain office supplies and coordinate with vendors as needed.
Maintain a clean, organized front end of the office (dishes, garbage removal, wiping down counters when needed)
Mailing out various packages via regular or Xpress Post when instructed
Support clients through the personal tax process by managing document intake, preparing completed tax packages, coordinating pick-ups and signatures, maintaining organized records, and providing general administrative assistance.
Experience
Prior office experience preferred, especially in administrative or clerical roles
Familiarity with multi-line phone systems and front desk responsibilities is essential
Strong organizational skills with attention to detail
Excellent customer service skills with professional phone etiquette
Proven ability to handle multiple tasks efficiently while maintaining a friendly demeanor
