Position Overview:



272 Physiotherapy and Massage Clinic is seeking a professional, friendly, and detail-oriented

Administrative Assistant

to join our team. This position plays a key role in ensuring a welcoming and efficient clinic environment for our clients and staff. You'll be the first point of contact for clients, responsible for reception duties, appointment scheduling, client intake, and general administrative support.

Key Responsibilities:



Administrative Duties:



Manage the front desk and daily clinic operations Answer phone calls and emails in a courteous and timely manner Schedule appointments and manage calendars for practitioners Create and maintain accurate electronic health records Process client payments and balance petty cash Enter and manage third-party insurance information Order office and clinic supplies as needed

Client Service:



Greet and assist clients in person and over the phone Provide information about clinic services and practitioners Confirm and remind clients of upcoming appointments Ensure a professional and welcoming environment for all clients

Clinic Support:



Support practitioners with referrals and documentation Monitor appointment schedules to minimize cancellations and gaps Track treatment visit limits (e.g., ICBC clients) Ensure cleanliness of treatment rooms and handle clinic laundry

Other:



Perform additional tasks as needed to support smooth clinic operations

Qualifications:



Required:



Minimum 1 year experience in a healthcare or clinic setting Strong customer service skills, both in person and virtually Understanding of confidentiality and professional conduct Proficient in using computers and scheduling software Excellent communication and time-management skills Positive attitude, organized, and a team player

Preferred:



Post-secondary certificate, degree, or diploma in a relevant field (e.g., Medical Office Assistant, Business Administration) Experience using

JaneApp

Familiarity with third-party billing (e.g., ICBC, MSP, WSBC, Telus eHealth) Social media proficiency for light clinic promotion Flexible availability, including mornings, evenings, and weekends
Job Types: Full-time, Part-time

Pay: $17.85-$21.00 per hour

Expected hours: 20 - 40 per week

Work Location: In person
