The Administrative Assistant for the Nursing Department is a member of the healthcare team responsible for the scheduling, time and attendance and administrative support to the Nursing Department that includes the Registered Staff, Personal Support Workers and the rest of the nursing support team at the Ukrainian Canadian Care Centre. All duties are performed with consideration to the needs, care and satisfaction of the residents of this Long Term Care facility.
Key Responsibilities:
Coordinate and complete Nursing staff schedules, staff placements as per the CA and daily assignments as well as staff replacements. Responsible for the master and active schedules.
Review, update and confirm the time and attendance of the Nursing department staff for submission to the payroll department
Review, maintain and update clinical forms and relevant documentation which supports daily Nursing Department routines
Coordinate and participate in the admission process through the provision of current documentation and sharing of appropriate information
Inventory management of equipment and supplies including coordination of medical and IPAC supplies purchases
Assemble relevant information as directed by registered nursing staff, charge nurses and nursing management to facilitate specific clinics, processes and routines in resident care delivery
Work hours could be subject to change according to operational needs.
Qualifications:
Office Administration, Medical Administration or equivalent
Minimum 1 year experience working in a health care, long term care setting
Strong computer skills including scheduling and time and attendance applications.
Proficiency in Microsoft Office and knowledge of data base applications
Experience with nursing scheduling (24-7) and with processing electronic time and attendance
Effective written and oral communication skills in English
Strong organizational and time management skills and ability to work independently and with the nursing team
