Office Administrator



We are looking for an enthusiastic and empathic Administrative Assistant/Intake Coordinator to join our team of mental health therapists.

Responsibilities:



The Administrative Assistant/Intake Coordinator is responsible for coordinating and managing daily administrative activities including but are not limited to:

Patient-facing reception responsibilities such as greeting and building respectful relationships with patients Answering phone calls and emails, taking messages, and redirecting calls and emails, as needed Schedule and complete intake / consult calls with clients Scheduling appointments Support therapists with their onboarding processes Performing various clerical tasks including filing, client invoicing, faxing Complete direct billing submissions to insurance companies through various web-based portals Accounts receivables / accounts payable Maintain an overall clean and organized working environment Support light office maintenance and maintain office supplies inventory Periodically communicate with community partners (e.g., Case Managers)

Qualifications and Experience:



College Diploma, preferably in medical or office administration, business management or an acceptable equivalent in a similar field Minimum two (2) years experience working in a receptionist, administrative or office assistant role Excellent interpersonal and communication (verbal and written) skills Excellent organizational and time-management skills Excellent telephone etiquette and strong customer service orientation Strict respect for confidentiality is essential Computer literacy with Microsoft Office Programs (Outlook, Word) and Adobe Ability to work as a collaborative team member, problem solve and work independently Experience with electronic patient management systems/web-based programs is an asset A general knowledge and understanding of basic accounting and health plan benefits is an asset Experience working in a medical, clinical, or health care setting is an asset Interest in working in a mental health setting is an asset
