Administrative Assistant/bookkeeper

Job Description

Reporting to the President, the Administrative Assistant will provide comprehensive administrative support to ensure the efficient delivery of quality administrative support services to the organization. This position will also be required to manage and maintain financial software system and bookkeeping using SAGE. Position will be required to attend offsite locations occasionally such as post office, financial institutions, and various supplier locations throughout the city of Winnipeg.

Duties:



Answer telephone and electronic enquiries and relay telephone calls and messages. Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally or with various stakeholders (i.e.: clients, suppliers) Order office supplies and maintain inventory. Prepare, key in, edit and proofread correspondence, invoices, presentations, publications, reports, and related material. Maintain manual information filing system. Create and maintain an electronic information filing system. Schedule and confirm appointments/meetings. Initiate and ensure completion of the records management process according to the records and retention schedule. Compile data, statistics, and other information as requested. Maintain, reconcile, and prepare expense reports. Prepare purchase requisitions and cheque requests and follow up on outstanding orders. Reconcile monthly credit card transactions, including filing of purchase detail receipts, validating transactions and reconciling accounts. Review expense and mileage claims received from other personnel that require management approval. Review invoices to ensure they are accurate and complete prior to management's review for signature. Record and prepare minutes of meetings, as requested. Other duties as assigned.

Primary Qualifications:

Completion of a Grade XII High School diploma or G.E.D. equivalent. Graduation from an Administrative Assistant training program, or equivalent combination of education and experience in an administrative capacity. Experience in working with accounting software, or basic accounting skills. Intermediate skills in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams). The ability to listen effectively, understand routine office procedures and follow directions. Strong verbal and written English communication skills, as well as organizational skills. Must be able to work effectively in a fast paced, dynamic and team environment. Have demonstrated the ability to work with supervision and as part of a team. Have and maintain a valid Manitoba Class 5 Drivers license and access to a reliable vehicle.

Secondary Qualifications



Bilingual (French/English) language skills. Training in Telephone Etiquette.

Salary:

$20.42-$26.37/hr. depending on qualifications
