As a Bookkeeper and Administrative Assistant, you will play a crucial role in the smooth operation of the organization. Here is how you will do that: Bookkeeper:
  • Preparation of monthly bank reconciliations for all bank accounts & credit cards.
  • Reconciliation of expense reports, bank accounts, and credit card statements monthly.
  • Processing of both accounts receivable and accounts payable, including issuing invoices, processing payments, and responding to customer and vendor inquiries.
  • Maintenance of all supporting documentation including filing, scanning, and ensuring all documents related to financial activities are accounted for and current.
  • Working with staff in other departments to ensure timely and accurate information.
  • Assistance in Balance Sheet and Income Statement consolidation (Prepaid, Accruals & Fixed Assets)
  • Assist the Finance Manager in maintaining and updating the general ledger while preparation of monthly, quarterly, and annual financial reporting.
  • Onboarding & off-boarding of employees.
Administration:
  • Answer phone calls, return messages.
  • Respond to emails in a timely manner.
  • Schedule team meetings, arrange meeting space, manage facilities vendors, track subscriptions/assets etc.
  • Other responsibilities as requested.
The role requires:
  • Diploma or bachelor\xe2\x80\x99s degree in Bookkeeping, Accounting or Finance
  • High attention to detail and ability to work independently in a deadline-oriented, fast-paced business.
  • Customer service mindset towards both internal teams and external customers, vendors, and other stakeholders.
  • Highly efficient and effective at communicating \xe2\x80\x93 both written and verbal.
  • Proficiency with QuickBooks (online) software
  • Proficient in MS Office Suite (expert in Excel).
  • Strong initiative, organizational, and time management skills.
  • Strong analytical and problem-solving skills.

  • Front desk: 1 year (preferred)
