About Us



The Royal Canadian Legion Manitoba & Northwestern Ontario Provincial Command is dedicated to supporting Veterans, serving our communities, and strengthening the work of Legion Branches across our Command. We are seeking a highly organized and proactive Administrative Assistant/Secretary to support provincial operations, committees, and member services.

Position Overview



Reporting to The Provincial Executive Director, the Administrative Assistant plays a critical role in ensuring smooth day-to-day operations of the Provincial Command Office. The successful candidate will manage correspondence, support Legion administrative programs, assist with Provincial meetings and events, and provide guidance and assistance to Legion Branches and members. This role requires strong organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality.

Key Responsibilities



Correspondence & Office Administration



Receive, sort, and direct incoming phone, email, and mail correspondence Maintain office records, directories, and contact databases Schedule meetings and provide general administrative support

Legion Program Administration



Provincial Sports Program:

assist host branches, compile/distribute event packages, track registrations & payments, support tournament competitors

Honours & Awards:

guide members and branches through application processes; process submissions and track files

Constitution, Legislation & Laws:

support By-Law review and amendment submissions; track and process packages

Poppy Program:

process Branch Poppy material orders, invoice branches, and provide support for ordering and billing inquiries

Veteran Licence Plate Program:

review and submit applications to MPI; track approvals

Provincial Meetings & Governance Support



Arrange travel, accommodation, and logistics for meetings Prepare agendas, take meeting minutes, and distribute documentation Track follow-up items and action lists

Service Office Support



Assist in coordination and documentation requirements related to VAC (Veterans Affairs Canada) claims and security clearance processes

Qualifications



Required



Post-secondary education in office administration or equivalent professional experience Proficiency with Microsoft Office (Outlook, Word, Excel, SharePoint) Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to work independently and manage multiple priorities Professionalism, confidentiality, and diplomacy Ability to obtain criminal record check

Preferred



Experience in nonprofit, government, or member-based organizations Familiarity with the Royal Canadian Legion or Veteran-support organizations Experience with records management and tracking systems
