Job Description

Key Roles and Responsibilities:



Front Desk Management

Greet and assist visitors at the front desk, provide general information and direct them to appropriate staff or deparment. Answer and direct phone calls, take accurate messages when necessary. Maintain a clean, organized and welcoming reception area at all times. Handle incoming and outgoing mail and packages, ensuring timely and accurate distribution. Assist students with Peggo card purchases and transit related inquiries. Responsible for collection of payments or fees for designated SA activities, maintain accurate transaction records and provide summary reports to the Operations & Accounting Director.
Office Management

Maintains a clean and organized workspace, ensuring the reception and common areas are presentable at all times. Monitor and restock office supplies, copy paper and toner while keeping stock shelves and cabinets in SA common areas organized. Responsible for keeping track of office supplies inventory. Assists with general security by managing visitor access beyond the reception area. Maintain and replenish brochure racks with up-to-date forms and information materials in the reception area. Ensure all office equipment is in working order and assist others in using the equipment.
Administrative Support

Performs a range of administrative support to the Executive Director, Student Executive Officers and office staff, including drafting correspondence, preparing minutes meeting and maintaining office stationery. Ensures staff directory is always up-to-date. Responsible in responding in a timely manner to general inquiries received via email and online chat via the RRCSA website. Assists in booking on-campus spaces as needed by students and SA related activities. Support volunteers and part-timers such as Student Operation Coordinator, Student Food Bank Coordinator, etc. including tracking and managing their volunteer/working hours. Maintains SA poster boards while ensuring all information is current and relevant. Assist the Events Team with administrative tasks related to SA events such as club events, elections, Career Fair, etc. Assist and coordinate event logistics by sourcing and booking venues, food/catering, supplies and other requirements for SA events and activities such as team lunches, birthday celebrations, meetings, retreats, etc. Provide administrative support to the Student Benefits Plan team as needed. Other duties as assigned.

Education and Experience:



High School Diploma plus minimum of one (1) year of post-secondary education in office administration, business or related field Previous experience in office administration role or relevant experience Intermediate to advanced knowledge of MS Office Must speak, read and write English fluently

Working Conditions



Some travel to other campuses as required Must be able to pull/push, lift or carry up to 50lbs of equipment and supplies (carts, tables, chairs, boxes, confectionary, etc.) as required Valid Manitoba Class 5 Drivers License (required) Clear Criminal Record Check Position is current an in-office arrangement This position has no supervisory responsibilities, but may be required to occasionally show others how to perform tasks
Job Types: Full-time, Fixed term contract
Contract length: 12 months

Pay: $32,000.00-$40,000.00 per year

Licence/Certification:

Manitoba Class 5 Drivers License (required)
Work Location: In person
