We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. This role is essential in ensuring smooth daily operations, providing exceptional customer service, and maintaining accurate records. Experience in medical or dental offices is a plus, but not required. Duties
Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Maintain filing systems both electronically and physically to ensure easy retrieval of documents
Assist with bookkeeping and basic financial record keeping using QuickBooks and other accounting tools
Provide customer support by addressing inquiries via phone, email, or in person
Schedule appointments, coordinate meetings, and manage calendars for staff members
Proofread documents for accuracy and clarity before distribution
Support office management with administrative tasks such as photocopying, scanning, and organizing supplies
Handle administrative duties related to medical or dental office operations if applicable, including patient record management and insurance documentation
Qualifications
Proven experience in an administrative or clerical role, preferably within a medical or dental office setting
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional written and verbal communication skills, including phone etiquette and customer service experience
Ability to perform data entry accurately and efficiently with good typing speed and proofreading abilities
Experience managing front desk operations and multi-line phone systems is preferred
Knowledge of bookkeeping practices related to office administration is a plus
Prior experience with medical or dental office procedures is advantageous but not mandatory
High school diploma or equivalent required; additional certification in office administration is a plus
