Job Overview
Maintains physical and digital filing systems, including updating and scanning old documentation.
Answers phone calls, directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and visitors.
Responds to emails and other digital correspondence.
Manages calendars for partners.
Drafts and edits letters, reports, and other documents.
Inputs and updates information in databases and spreadsheets.
Coordinates logistics for meetings, including room setup and catering.
Operates and maintains office equipment, including printers, copiers, credit card machines, postage machines, and security systems.
Coordinates with maintenance staff and vendors to ensure office equipment is functional and supplies are stocked.
Collaborates with other administrative staff and supports colleagues as needed.
Handles sensitive information discreetly to maintain confidentiality and security.
Ensures compliance with privacy policies and regulations.
Ensures deadlines are met and adapts to changing priorities.
Presents a positive and professional image for the firm.
Manages daily bank deposits and credit card payments.
Oversees the intake of personal tax information and corporate year-ends.
Reconciles credit card statements for partners.
Performs other related duties and responsibilities as required by the position.
Experience
3-5+ years of administrative experience.
Experience in public accounting is preferred but not required.
High school diploma or equivalent is required.
