We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations and members. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various computer applications. This role involves handling administrative tasks, providing exceptional customer service, and ensuring the smooth functioning of daily office activities.
Responsibilities
Reception & general office duties: opening and closing the office, answering the phone, providing customer service at front reception, incoming and ongoing mail, managing office supplies.
Understand VICA programs and provide accurate and timely information to members in person, over the phone and via email.
Responsible for handling contract document sales and tracking inventory.
Handle incoming and outgoing mail
Handle registrations and payments for courses and events.
Reconciliation of petty cash
Setup and take down of board room/classroom for various meetings and courses
Support office administration and operations as necessary.
Manage supplies and equipment
Provide support to Education Manager
Assist events staff in prepping for events.
Must be able to obtain their Commissioner of Oaths and sign Statutory Declarations for VICA members.
This role involves occasional lifting of materials (up to 50 pounds) and mobility within multi-level facilities, including stair use.

Qualifications
Certificate in Office Administration and/or 2 years' experience in an office setting
Proficiency and experience (1-2 years) working with MS Word, Excel, PowerPoint, e-mail, other computer programs.
Valid BC Drivers License & access to reliable vehicle
Working Conditions
Interacts with employees, management, members, stakeholder and the public
Based at the VICA Office in Victoria (remote work is not available for this position).
Position is full time hours; Monday to Friday, 8 AM to 4 PM
Occasionally work outside those hours to accommodate activities such as after-hours events

Salary and Benefits
$50,000-$54,000 annually, based on experience and qualifications
3 weeks vacation to start
