Job Description

Located in Vernon, BC, VO2 Master researches, manufactures, and sells the world's first truly portable metabolic analyzer that makes athletes faster and improves weight development for everyone.

We are seeking an Administrative Assistant / Shipping Specialist.

Training will be provided.

About You:



You know that a well-run organization is a happy one. You deplore things that waste time and love efficient use of shipping and administrative systems. You notice problems and opportunities and develop solutions. And you will jump into learning the CRM, shipping, and administrative processes of the company. You have attention to detail, are organized, and quick with a computer.

Training and oversight will be provided by our current Administrative / Shipping Lead. This position reports to the Customer Success Manager.

Key Responsibilities:



Product Fulfillment (Shipping)



1. Communicate fulfillment timelines for clients.

2. Generating shipping labels

3. Ship products and update records.

4. Learn the challenges with international shipping (costs, countries we cannot service).

5. Handle product returns including label generation and dealing with international customs.

6. Update the customer relationship management (CRM) system to track shipments, service tickets, and to keep the system clean.

Administrative Assistant



1. Navigating and being organized within our CRM, creating new deals within the CRM

2. Answering Incoming calls and directing tp appropriate team member.

3. Book keeping (Quickbooks entries)

4. Creating Paypal Invoices

5. Performing Sales Audits

6. Processing Web orders.

7. Creating Invoice for Purchase Orders.

8. Screening job applications to shortlist applicants for management

9. Assisting with trade show logistics.

Organizing and packing tradeshow booth set ups and equipment. Assisting with reservations and bookings
