Job Description

As our Administrative Assistant, you will provide high-level administrative support to the Construction & Design Vice President and leadership team, ensuring smooth daily operations and effective team coordination. Your key responsibilities will include:

  • Scheduling and organizing meetings, conferences, and events.
  • Managing executive calendars, prioritizing appointments, and preparing meeting materials.
  • Coordinating travel arrangements, accommodations, and transportation.
  • Processing expense reports, invoices, and other financial paperwork.
  • Drafting, proofreading, and distributing emails, memos, and reports.
  • Conducting research and preparing reports as needed.
  • Answering and screening calls, responding to inquiries, and liaising with internal teams, clients, and vendors.
  • Organizing and maintaining physical and digital files, records, and databases.
  • Updating and managing organizational charts.
  • Planning, coordinating, and supporting special projects, team celebrations, activities, gatherings, and other operational initiatives as required.
  • Assisting with office supplies, equipment needs, and facility-related services, as well as tasks such as data entry, scanning, and document management.
  • Providing general administrative support as required.
  • Supporting the growth of a positive company culture and professionally representing Northland Properties.
  • Performing other related duties as required.
What are we looking for?
  • 2+ years of experience in an administrative or executive support role.
  • Post-secondary education in Business Administration, Office Administration, or a related field is preferred but not required.
  • Proficient in MS Office, especially Microsoft Outlook, SharePoint, Teams, Excel, and Word.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills, with high attention to detail and accuracy.
  • Strong interpersonal skills, with the ability to work collaboratively and build positive relationships with internal and external stakeholders.
  • Demonstrated ability to take initiative, solve problems, and support operational needs with a proactive, service-oriented mindset.
  • Adaptable and comfortable working in a fast-paced, dynamic environment.
  • Demonstrates a positive attitude, with good initiative and a strong work ethic.

Job Location: Head Office - Vancouver, BC
Contract length: 13 to 14 months (Maternity Leave Coverage)
