Grow Speech and Language Therapy is seeking a full-time Administrative Assistant who is passionate about supporting the day-to-day operations at our expanding pediatric speech therapy clinic. Position Overview:
As our Administrative Assistant, you will play a key role in supporting the efficiency of our day-to-day clinic operations. You will assist with scheduling clients and coordinating the clinic schedule, as well as responding to inquiries from clients, referral sources, community partners, and staff. You will support the administrative team with various tasks and ensure that the office and clinic space is clean, organized, and welcoming. Throughout the day, you will provide support to clients and staff by building positive relationships and helping create a smooth, friendly experience.

Key Responsibilities:
Maintain a professional and friendly presence at the front desk, offering prompt and helpful assistance to clients and visitors
Respond to inquiries from clients, referral sources, community partners, and staff via phone, email, and in person
Onboard new clients and ensure all consent forms and required documents are completed prior to treatment
Schedule client appointments to maximize calendar efficiency and maintain the waiting list
Schedule treatment rooms within the clinic
Assist with funding forms and prepare funding application letters
Process client payments
Proactively address issues and communicate effectively with the administrative team to ensure smooth operations
Support the coordination of staff events (e.g., lunch & learns, social gatherings)
Assist with maintaining and ordering office materials and supplies
Ensure daily cleaning and organization of the clinic and office spaces
Qualifications:
Previous experience in administrative or clerical roles and customer service (2-3 years or equivalent)
Proficiency in Microsoft Office Suite, including Word and Excel
Familiarity with clinic management and scheduling software (e.g., Jane) is an asset
Exceptional written and verbal communication skills in English
Excellent interpersonal skills and ability to build positive relationships
Strong attention to detail and accuracy
Outstanding organizational and time management skills
Ability to work effectively and independently
