Reporting to the Executive Director, the Administrative Assistant provides confidential administrative support to Renfrew Collingwood Seniors Society Adult Day Centres teams and Board of Directors.
Duties
Administrative Support
- Provide administrative and clerical support to the adult day program management team, Board of Directors, and employees
- Manage correspondence, emails, and phone calls in a professional and timely manner
- Maintain and organize electronic and paper filing systems
- Prepare meeting agendas, take minutes, and follow up on action items
- Provide assistance in community meal program
Communication
- Coordinate with external vendors, suppliers, and healthcare partners
- Handle inquiries and re-direct messages appropriately
Operations & HR Assistance
- Assist with onboarding new staff, including document preparation, account setup, and orientation
- Support HR documentation
- Maintain office and day program supply inventory and place orders as needed
- Assist with internal communications, announcements, and website/social media updates
Technical Support
- Provides basic IT and equipment troubleshooting support
- Updates website
- Set-up social media accounts
Other duties as required
Qualifications
- Diploma or certificate in Office Administration, or related field
- 2 - 3 years of recent experience in a healthcare and/or administrative environment
- Excellent organizational and communication skills (written and verbal)
- Ability to multi-task
- Ability to work independently and work collaboratively within a team environment
- Demonstrated ability to exercise professionalism, tact, and diplomacy
- Proficiency in Microsoft Office Suite (e.g. Outlook, Word, Excel, Access, Teams)
- Knowledge of BC Healthcare operations and client confidentiality
- Demonstrated strong time management and organization skills, with attention to details and accuracy.
- Physical ability to carry out all duties of the position
- Fluency in English required; Mandarin or Cantonese language skills are an asset
