TalentWorld is currently hiring an experienced Office Administrator on behalf of one of our valued clients. This role offers a dynamic opportunity to support a senior executive and contribute to the smooth operation of a fast-paced office environment. The ideal candidate will be highly organized, detail-oriented, and proactive, with a proven track record in executive calendar management, meeting coordination, and administrative support.
Office Administrator Job Responsibilities:
Coordinate and manage the Executive's calendar by scheduling and confirming meetings with internal and external stakeholders, resolving scheduling conflicts promptly.
Prepare and set up meetings, including drafting and distributing agendas and materials, arranging A/V support, and recording minutes with follow-up on action items.
Assist with preparations for office relocation through document scanning, shredding, and organizing files for disposal or archiving.
Draft and prepare correspondence, reports, and presentations, while handling document formatting, printing, scanning, and photocopying as needed.
Submit expense reports accurately and on time, and maintain both filing systems and archived records in compliance with office procedures.
Collaborate with other administrative staff to provide lunch coverage at reception and support additional administrative duties as assigned.
Office Administrator Job Qualifications:
Proven 2-3 years of experience in supporting senior leaders with calendar coordination, meeting logistics, and travel arrangements.
Skilled in preparing agendas, recording accurate meeting minutes, and managing A/V setups for both in-person and virtual meetings.
Strong time management, prioritization, and multitasking abilities, with a keen attention to detail and high-quality output.
Excellent verbal and written communication skills; able to interact professionally with internal teams, external partners, and government entities.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); able to quickly learn and adapt to other digital tools.
Experience in the development, construction, or public sector industries is considered an asset.
Employment Details:
Salary: $19-$22/ hour
Benefits: 37.5 Hours Weekly
Duration: 1 month of contract
Schedule: Monday to Friday, 8:30am - 5:00pm EST
