We're a small law firm located in the heart of downtown Toronto, and we are looking for a full-time fully on-site administrative assistant to support our office administration and be a key support to our legal team.
About the Role:
As our administrative assistant you'll be the first point of contact for clients, visitors, and callers--setting the tone for a professional and client-focused experience.
In addition, you'll assist our legal staff with administrative and legal support tasks, making this an excellent opportunity for someone looking to grow within a legal environment.
Key Responsibilities:
Greet clients and visitors in a warm, professional manner
Answer and direct phone calls, take messages, and manage general inquiries
Manage incoming and outgoing mail and couriers
Schedule meetings and maintain conference room calendars
Perform legal assistant duties such as document preparation, filing, and data entry
Support lawyers and legal assistants with administrative tasks as needed
Maintain a tidy and organized front desk and reception area
Administering office technology systems: phone, copier,
Managing and ordering office supplies;
Administering supplier and client invoicing;
What We're Looking For:
At least 3 years prior experience as an administrative assistant, ideally in a legal or professional office setting
legal environment experience or education is preferred (e.g., familiarity with legal terminology, documents, or procedures)
Excellent communication and interpersonal skills
Fluency in German is an asset
Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and Adobe
Legal software or applications knowledge an asset
The ability to multi-task independently and collaborate with the team
The ability to prioritize tasks in time sensitive work environment.
High attention to detail and strong organizational skills
Ability to handle sensitive information with discretion
Post-secondary education, skills training or certifications are an asset
