Rexdale Community Health Centre (RCHC) is a multi-service organization providing primary care, health promotion, and community programs. In partnership with T2, we deliver TO Wards Peace (TWP)--a public-health, community-centred approach that interrupts and prevents violence through outreach, hospital and social-media interventions, and deep community partnership.
Position Summary
The Administrative Assistant provides end-to-end administrative and coordination support for the TWP project. This includes scheduling, meeting logistics and minutes, document and data management, partner liaison, materials and reports, and light support with community engagement/registration. This role thrives in a fast-paced setting, balancing multiple priorities with accuracy, discretion, and professionalism.
Key Responsibilities
Project & Partner Coordination
Schedule and organize meetings (internal and multi-partner), prepare agendas, take minutes, and track action items.
Liaise with partners (City of Toronto, grassroots agencies, evaluation team, and others); coordinate between Rexdale and Jane-Finch sites.
Support planning and logistics for training, workshops, and community events.
Administration & Document Management
Maintain organized electronic and manual filing systems; create/update templates and trackers.
Prepare program materials, forms, presentations, and reports; ensure confidentiality and compliance with RCHC policies.
Monitor timelines, track tasks, and support follow-through across the project team.
Community Engagement & Communications Support
Assist with program registrations and event sign-in; provide front-line information to visitors and stakeholders.
Provide light support for project social media (posting coordination, basic updates) in alignment with team direction.
People & Onboarding Support
Assist with recruitment and onboarding steps (posting logistics, interview scheduling, paperwork coordination).
Respond to staff administrative queries (policies/procedures, risk mitigation) and direct to appropriate contacts.
General
Participate in project staff and committee meetings; support other TWP duties as assigned.
Work on-site at partner agencies (e.g., Jane-Finch) as required; some evenings/weekends based on project needs.
Qualifications
2+ years' administrative experience, ideally in a community-based setting.
Strong organization, multitasking, and follow-through; high attention to detail and accuracy.
Excellent written and verbal communication; professional, discreet, and client-focused.
Proficiency with MS Office (Word, Excel, PowerPoint, Publisher), email, and internet; comfortable learning new systems.
Demonstrated ability to work independently and as part of a diverse team; strong interpersonal skills.
