Provide day-to-day administrative assistance within the team
Maintain provider schedules and coordinate client appointments
Book and modify appointments
Prepare correspondence, reports, and internal communications
Ensure that informational materials, program flyers, and forms are available for clients.
Assist with data entry, filing, and maintenance of client and program records in accordance with privacy legislation
Manage appointment scheduling and confirmation for primary care providers
Client Service
Greet and direct clients in a welcoming, culturally safe manner
Answer incoming calls and manage the phone system, respond to inquiries via email, and direct calls to the appropriate staff
Assist with intake documentation and ensure forms are complete and accurate
Assist clients with completing forms and intake documentation
Coordination & Communication
Liaise between the Primary Care Unit and other AHT programs to support integrated care
Schedule meetings, prepare agendas, and record meeting minutes
Support internal reporting and data collection for quality improvement and funding requirements
Compliance & Confidentiality
Adhere to AHT's policies, procedures, and health information privacy standards
Ensure documentation and communications are accurate, timely, and secure
Track inventory and order supplies for the unit
Process referrals, faxes, and other communications as required
Qualifications & Experience
:
Post-secondary education in Office Administration, Health Administration, or a related field, or equivalent combination of education and experience
Minimum 2 years of administrative experience in a healthcare or community services setting
Strong organizational and time-management skills with attention to detail
Excellent communication and interpersonal skills
Proficiency with Microsoft Office Suite and electronic medical records systems
Ability to work in a fast-paced, team-oriented environment
Understanding of the health and social issues affecting indigenous communities
