General Accountability

Provides direct administrative support to the Head of the Department, the Advisory Committee on Accessible Transit (ACAT), and efficient and effective administrative and office support services for the office/Department. The role may carry out/coordinate special assignments and tasks as directed and provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.

Key Job Functions

  • Providing administrative support to the Head - Wheel-Trans, and for providing efficient and effective administrative and office support services for the Wheel-Transportation Department.
  • Providing administrative support to ACAT, including communicating with members as needed, editing and preparing meeting minutes, supporting ACAT staff liaisons with specific tasks and event organization as needed.
  • Providing support to ACAT staff liaisons by coordinating required vendor participation at meetings or events and addressing any quality assurance concerns.
  • Providing support with scheduling and managing the ACAT calendar and Head - Wheel-Trans calendar.
  • Provide meeting support for various meetings for the Group/Department, including preparing meeting agendas, maintaining and tracking outstanding tasks lists.
  • Prepare and/or assist in the preparation of documents, presentations, and reports, and distribute to the appropriate parties in accordance with established standards.
  • Coordinate, prepare correspondence, and/or communicate verbally with others to ensure accurate and timely communication of information.
  • Supporting and redirecting Wheel-Trans customer inquiries as needed.
  • Monitor, track and maintain information/data/ records/files, following up, and updating as required.
  • Provide administrative and office support, and perform a variety of administrative duties related to assigned work.
  • Provide guidance, expertise and advice, and make recommendations for improvement regarding areas related to assigned work.
  • Liaise with Group/Department staff, other Groups/Departments, and/or external organizations concerning matters regarding assigned work.
  • Assist and/or prepare the department\'s administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department and may monitor expenditure.
  • Coordinate and/or provide training to staff, including arranging for training and providing guidance relative to the resolution of problems.
  • Participate and assist with special projects and activities as directed.

Education and Experience
  • Completion of a post-secondary education in office administration, or the equivalent, combined with several years of progressively more responsible experience in an office administrative capacity.
Additional Requirements
  • Sound knowledge of business administration concepts and practices as well as research methods and techniques.
  • Good working knowledge of modern office methods, procedures, practices and equipment.
  • Proficient in the use of computers, mainframe, and software applications relevant to the work (i.e. MS Word, Excel, PowerPoint, Access, OARS, PPIN).
  • Sound judgement, excellent organizational, interpersonal, oral and written communication skills (grammar, punctuation and spelling).
  • Ability to handle several responsibilities at once, under minimal supervision.
  • Familiarization of Advisory Committee on Accessible Transit (ACAT).
  • Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
