We are currently recruiting for a full-time Administrative Assistant to join the Private Equity department in Toronto. The Administrative Assistant will report to a Managing Director and will be responsible for providing day-to-day administrative support to the Portfolio Strategy and Business Management team. Some of the main duties include managing calendars, meetings, expenses, booking events, travel and correspondence and assisting with departmental initiatives. Role-specific Accountabilities:
  • Provide general administrative support to the Managing Directors and a diverse team of investment and finance professionals. Team can be comprised of analysts, associates, senior associates, principals and managing directors.
  • Book and manage global travel arrangements, itineraries or other duties related to support professionals who travel.
  • Manage calendars on behalf of executives, working with other departments to coordinate meeting booking.
  • Anticipate required calendar changes based on holidays, travel, and other conflicts.
  • Co-ordinate, arrange and oversee team event planning process, as required.
  • Work closely with other assistants and teams to increase efficiencies and provide overall departmental support.
  • Manage distribution lists, submit IT requests and ensure team has required tools (e.g., hardware) to be effective.
  • Reconcile credit card expenses and input into the Global Expense Reporting System.
  • Be a CPP Investments ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible, and approachable manner.
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Work cross functionally as part of a team with other members and departments.
  • Accommodate and complete staff requests managing timelines and deliverables.


Qualifications
  • College diploma or undergraduate degree is required.
  • 3-5 years\xe2\x80\x99 experience gained from a fast-paced, professional environment.
  • Experience providing support to multiple professionals and managing competing priorities.
  • Experience with complex calendar management, booking high profile meetings, events and managing expense reimbursement process.
  • Book and manage global travel arrangements, itineraries or other duties related to support professionals when they travel globally.
  • Working knowledge of MS Office (Word, Excel, Outlook, Calendar) and comfort and interest in learning new applications.
  • Experience with expense software is an asset
  • Extremely motivated, eager to learn, adaptable, calm under pressure and professional.
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Ability to effectively collaborate, especially with others in a similar role.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
  • Exceptional (written and verbal) communication and interpersonal skills.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines.
  • Able and willing to work flexible hours, as required.
