Position Summary: Reporting to the Directors, Student Success, the Administrative Assistant to the Directors (Administrative Assistant) performs a variety of administrative duties, including coordination of meetings, communication to staff, and office activities for the 5 directors within the Division of Student Success.

Key responsibilities:

  • Provides procedural administrative leadership to other clerical staff within the Student Success division. Acts as main contact of inquiries for usage of systems and procedures for the area (e.g., onboarding).
  • Provides executive administrative support and general administrative support for the office.
  • Supports Directors\xe2\x80\x99 working committees. Schedules and arranges in-person, tele-and video meetings. Arranges, prepares, and books meeting logistics and material such as rooms, materials/reports, equipment, and catering. Prepares minutes and communication between committee members.
  • Provides logistical and administrative support to specific consultants and related projects as required.
  • Generates reports from service area databases, reviewing for accuracy and usefulness, and compiles information on request. Applies expertise in utilizing multiple databases and systems, including Clockwork, Banner, and FAST.
  • As assigned, supports special projects including event planning, information research, data collection, preparation of reports and presentation materials. Provides updated information as required.
  • Coordinates and acts as primary contact for providing centralized information to Student Success Managers and all staff. Provides up-to-date information and effective avenues for resource sharing, utilizing digital solutions to support cross-departmental collaborative work.
  • Oversees correspondence, prepares reports and business presentations for internal and external stakeholder groups/individuals. Includes developing drafts, layouts, and editing routine correspondence, reports, and proposals (including annual business plans).
  • Provides administrative assistance to Directors and managers for staffing, including liaison with Human Resources for coordination of recruitment, interviewing, and hiring processes.
  • Other duties as assigned.
Educational and Experience Requirements:
  • Three-year Diploma or degree from a recognized post-secondary institution in Business Administration Diploma or equivalent.
  • Minimum three (3) years\xe2\x80\x99 demonstrated experience in office administration, including organizing and coordinating meetings, PD, and special events. Experience in processing attendance and possesses the ability to train others on college systems.
  • Comprehensive experience in Banner Financial or a similar Student Information System is preferable.
