About the Opportunity
Reporting to the Director WZ People Services, the Administrative Assistant will serve as the initial contact and resource person responsible for providing comprehensive administrative support by effectively coordinating the day-to-day operation of the Directors office. The position coordinates all administrative activities, establishes administrative procedures and guidelines and acts as a liaison with the administrative assistants within the portfolios and across Nova Scotia Health. The Administrative Assistant provides support & guidance to the portfolios in terms of all administrative activities, procedures and guidelines to enable consistency and standardization across the portfolio.
The position is responsible for the administrative leadership, development and mentorship of the administrative assistants within the portfolios. This position provides additional support to individuals, committees or working groups as assigned. This position works closely with the Executive Assistant of the people services portfolios and may provide general administrative coverage in the absence of other assistants reporting within this portfolio.
This position will have an important role in organizing content and with communication across the teams, tracking and coordinating various issues, work tasks and projects within the portfolios. This will include organization, prioritization and coordination, keeping up to date with project plans, milestones and timelines, and communicating with leadership and staff.
About You
We would love to hear from you if you have the following:
Post-Secondary diploma in a recognized office administration, business administration or secretarial program
Undergraduate degree is an asset
International Association of Administrative Professionals (IAAP) certification is an asset
The Administrative Assistant requires a minimum of 5-7 years\' of progressively responsible experience, providing administrative support and office coordination at the senior level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders
Demonstrated excellent communication and interpersonal skills with a high degree of tact, judgement, and confidentiality
Demonstrated ability to apply critical thinking, synthesize information, problem-solve and utilize good judgment in decision making. Ability to recognize sensitive issues and respond appropriately
Ability to take and transcribe minutes
Excellent organizational, follow through and time management skills, with the ability prioritize tasks and accurately manage multiple priorities in a fast-paced, time-sensitive and highly confidential environment
Excellent communication, interpersonal, prioritizing, and organizational skills
Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies
Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information
Exemplary work history as demonstrated in current and past employment
Physical capabilities to perform the duties of the position
