About Us
The Vedic Cultural Centre in Thunder Bay is a community-focused organization dedicated to promoting Vedic culture, arts, music, language, and spiritual learning. We offer community programs, free meals through our Food for Life program, cultural festivals, educational workshops, and support for newcomers and students.
Key Responsibilities
- Open and close the center, ensuring the facility is ready for daily programs or events.
- Answer phone calls, respond to emails, greet visitors, and take care of general mail to ensure smooth internal and external communication.
- Greet clients and visitors, provide assistance, and ensure a positive and seamless experience.
- Schedule and coordinate regular classes, volunteer shifts, free food programs, and cultural events while avoiding scheduling conflicts.
- Draft, proofread, and distribute correspondence such as donor letters, community notices, program updates, and event forms
- Maintain records and databases on computer and in physical files as required to ensure accurate and accessible information.
- Assist management with general office procedures, program documentation, and special projects.
- Process payments, donations, and invoices, maintaining accurate financial or donation records.
- Schedule meetings with donors or other organizations, record discussions, and prepare follow-up notes or reports as needed.
- Assist with event logistics: coordinating vendors/performers, arranging permits, renting equipment, and managing setup/teardown for festivals and programs.
- Prepare reports on attendance, finances, and program outcomes for leadership, funders, or grant applications.
- Manage social media accounts and online communication to promote VCC programs, workshops, and events.
- Order and maintain office and event supplies, ensuring facilities and equipment are in good working order.
- Support volunteers and newcomers/students, providing guidance on schedules, procedures, and resources.
Qualifications & Skills
- Secondary school diploma required
- Minimum 1 year of experience in administrative, office, or nonprofit support roles. - Knowledge of office procedures, filing systems, and record-keeping practices.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent written and verbal communication skills; customer
-service oriented.
- Proficient in MS Office Suite (Word, Excel, Outlook); familiarity with social media platforms and scheduling tools.
- Ability to work flexible hours, including evenings and weekends for events or festivals

- Sensitivity and respect for diverse cultural, spiritual, and community groups.
