Summary: DMC is currently looking for an Administrative Assistant to join our team on a permanent basis in our Thunder Bay location. The Administrative Assistant will be responsible for providing a wide range of clerical and administrative support to the Engineering Department as well as collate, edit and package proposals. This is an ideal role for someone who thrives in a fast-paced and constantly changing environment with a proposal writing background.
Responsibilities:
Prepares wide range of administrative documents for the department including but not limited to processing expenses, entering Purchase Orders, creating Organizational charts, etc.
Assists in preparation of proposals including the researching, compiling, and summarizing data in accordance with established procedures.
Edits and proofreads proposal and other related materials to ensure accuracy, clarity, readability, consistency with company guidelines and standards
Updates and maintains electronic filing and document control tracking system. Ensures compliance with document control standards and performs quality checks on documents such as drawings, reports, and calculations ensuring completeness.
Coordinates all information in format requested in RFP against Company standards
Maintains files of all RFPs and completed proposals and presentations
Maintains up-to-date content library
Attends, records, and distributes detailed minutes to various Project Meetings (internal and external)
Assists management with monthly and ad-hoc reports
Qualifications:
Minimum three (3) years of administrative experience within an engineering environment would be beneficial
3 years Bachelor\xe2\x80\x99s degree in Administration or equivalent would be beneficial
Exceptional writing and editing skills
Advanced Proficiency in MS Office: Word, Excel, PowerPoint, and Outlook with exposure to Visio and database/document control platforms is an asset.
Strong organizational skills that demonstrate a high level of accuracy and attention to detail
Ability to work collegially under strict deadline pressure and handle multiple work assignments
Ability to learn quickly, demonstrates critical thinking, and makes situation-appropriate decisions using sound judgment
Outstanding interpersonal and communication skills
Experience working in a high-paced, large company environment
