We are seeking a detail-oriented and motivated Administrative Assistant to join our team and help ensure the smooth operation of our office.
Position Summary:
The Administrative Assistant will provide comprehensive administrative support to the department, ensuring the efficient and effective operation of day-to-day activities. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment.
Key Responsibilities:
Answer and direct phone calls, emails, and inquiries in a professional and timely manner.
Manage scheduling for meetings, appointments, and events.
Organize and maintain physical and electronic files, ensuring all documents are accurate, up-to-date, and easily accessible.
Prepare reports, correspondence, and other documents as required by faculty, staff, or administration.
Assist with the coordination of special projects and events, including student orientations, workshops, and conferences.
Manage office supplies inventory and place orders as needed.
Support faculty and staff with travel arrangements, including booking transportation and accommodations.
Perform general office duties, including photocopying, faxing, and filing.
Assist in the creation and management of departmental budgets and maintain financial records.
Provide excellent customer service to students, faculty, staff, and visitors.
Qualifications:
Bachelor's degree in a related field (preferred).
2+ years of administrative support experience, preferably in a higher education setting.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software.
Excellent verbal and written communication skills.
Strong organizational skills with the ability to prioritize and manage multiple tasks.
Ability to maintain confidentiality and handle sensitive information with discretion.
Demonstrated ability to work independently as well as part of a team.
Strong interpersonal skills and the ability to work with diverse groups of students, faculty, and staff.
Experience with basic accounting or budgeting is a plus.
