We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. This role is essential in maintaining efficient workflow, providing excellent customer service, and ensuring smooth administrative functions. The ideal candidate will have strong computer skills, experience with office management, and the ability to handle multiple tasks in a fast-paced environment. Experience with or understanding a Person Friday role is a plus. Duties May Include:
Manage desk responsibilities, including answering multi-line phone systems with professional phone etiquette
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office and Google Workspace for creating reports, correspondence, and scheduling
Handle customer support inquiries via phone and email, providing exceptional service and support
Maintain appointment schedules and coordinate meetings efficiently
Perform supportive office tasks which may include outside of office errands and presentation support.
Assist with organization & production of virtual and live presentations
Support executive level with various projects to ensure timelines and results are met
Assist with tasks using QuickBooks, Google Suite or similar software
Support clerical functions such as copying, scanning, and organizing documents
Manage incoming and outgoing mail and deliveries
Assist with data research and compilation
Beneficial Experience
Previous office experience
Previous enrolment in Business Courses, Drama Courses, Media Courses
Proficiency in Microsoft Office Suite and or Google Workspace applications
Experience with QuickBooks or other bookkeeping software is desirable
Strong typing skills with attention to detail for data entry and proofreading tasks
Social Media, presentation, production and engagement experience
Demonstrated organizational skills with the ability to prioritize tasks effectively
Excellent customer service skills with professional phone etiquette
Familiarity with multi-line phone systems and front desk procedures
Clerical experience including filing, document management, and general administrative duties
Prior experience in offices is a plus but not mandatory
