Job Summary:



We are seeking a highly organized and detail-oriented

Administrative Assistant

to provide high-level support to our team. This role requires proactive management of administrative tasks, scheduling, communication, and process tracking. A strong emphasis is placed on

Key Performance Indicators (KPIs)

to ensure efficiency, accuracy, and timely execution of responsibilities.

Job Responsibilities:



KPI Training & Monitoring



Educate students on critical KPIs including attendance, academic progress, placement participation, and active class engagement. Ensure students understand the impact of KPIs on their success and the institution's performance. Identify students falling below KPI benchmarks and implement corrective engagement strategies.

Student Engagement & Preparation



Call and engage students to verify awareness and understanding of their program, instructor, class schedule, and placement requirements. Prepare students for potential Ministry reviews by ensuring they are confident in articulating their academic journey and institutional experience.

Data Collection & Reporting



Collect, track, and update data on student readiness, participation, and feedback using internal systems. Provide hourly updates to supervisors regarding student status, engagement levels, and risk indicators. Support internal compliance and reporting efforts by maintaining accurate and detailed records.

Communication & Coordination



Follow standardized communication scripts and protocols to maintain consistent messaging across departments. Correct student misunderstandings and encourage full, meaningful participation beyond login-based attendance. Maintain communication logs and escalate unresolved issues or red flags to internal academic, compliance, or support teams as needed. Collaborate with cross-functional teams to align student communication strategies and KPI improvement plans.

Student Experience & Feedback



Address concerns professionally, especially with frustrated, disengaged, or misinformed students. Foster a positive student experience to support strong, informed feedback during Ministry evaluations. Actively promote the value of the student experience at CCBST in every student interaction.

Required Qualifications:



Diploma or bachelor's degree in business administration, Office Management, Communications, or related field Minimum 1 years of experience in an administrative or customer service role in a Canadian workplace Strong understanding of professional communication, meeting coordination, and document handling Familiarity with ministry reporting and compliance in the post-secondary education sector is preferred Exceptional organizational skills, discretion, and ability to manage multiple priorities under pressure.

Work Timings:

Tuesday to Saturday or Sunday to Thursday. 12:00pm - 8:30pm

Job Types: Full-time, Permanent

Pay: $35,800.00 per year

Ability to commute/relocate:

Scarborough, ON M1T 3N9: reliably commute or plan to relocate before starting work (required)
