Job Description

Associated Engineering, a proudly Canadian, Employee-owned Company is seeking an experienced and dedicated Administrative Assistant to join our team in Saskatoon.
In this role you will be responsible for supporting the administrative needs of the Saskatoon office by conducting reception desk duties such as managing the mail and incoming/outgoing couriers, greeting visitors, coordinating special functions, sourcing catering, and coordinating the booking and scheduling of rental vehicles.
You will also review and process accounts payable invoicing and accounts receivable invoicing for our clients, and do word processing on reports, letters and tender documents.
You will adhere to our professional standards, and complete analysis and interpretation of data and coordination of logistics. You have an eye for detail, and ensure reports conform to project and company standards. You provide excellent internal and external customer service, delivering administrative support services to the team.
You may also complete other duties as they arise, in support of the Human Resources & Administration team, or General Manager. As a member of the Human Resources & Administration team, you will report to the Human Resources Business Partner.
What you'll do

  • Provide front desk services
  • Prepare and complete mail-outs for internal and external communications
  • Schedule meetings and manage calendars
  • Reconcile Petty Cash and maintain logs for the Saskatoon office
  • Prepare, verify, and distribute monthly financial or account statements
  • Prepare bank deposits and assist with financial documentation
  • Process invoices, both accounts payable and accounts receivable
  • Create, submit, and track purchase orders using the appropriate system or template
  • Coordinate and track booking and scheduling of rental vehicles
  • Contact service providers or internal IT for repairs or maintenance
  • Receive building maintenance requests and report issues, schedule repairs, etc.
  • Coordinate award submissions and client and staff receptions
Job Requirements
Does this sound like you?
  • Diploma or certificate with a concentration in administration, business, or related field
  • Minimum 6 years of experience in relevant support role
  • Experience in supporting relevant programs and procedures such as invoicing, mail/courier duties, and supporting senior staff
  • Experiencing in conducting front desk duties such greeting visitors, sorting mail, accepting calls, and thrives/enjoys front-facing role
  • Excellent planning and organizational skills
  • Ability to manage multiple projects and execute work efficiently, sometimes under tight time constraints
  • Highly effective written and verbal communication skills, and interpersonal skills
  • Natural attention to detail and quality
  • Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • Ability to juggle multiple priorities & variety of work tasks
  • Ability to maintain confidential information
  • Possess initiative and drive, and can work independently
  • Computer literacy (MS Word, Excel, PowerPoint, Outlook) required
