Clifton is currently searching for an Administrative Assistant to join our Saskatoon office. In this office-based role, you will provide professional and efficient administrative support to the local office and be a valued member of Clifton's Administrative Team, corporately. This role requires a proactive, enthusiastic, detail-oriented professional who enjoys working on a variety of tasks and is eager to contribute to the efficient and successful operation of the business.

Key Responsibilities

Providing detailed and accurate administrative support, including data entry, compiling, editing, formatting, and preparation of documents, standard agreements, SOQ's, reports, and other correspondence, as needed. Managing all building access keys, fobs, and access control systems, ensuring proper distribution, tracking, and security of all building access credentials. Providing support to our existing administrative team with building operations, including coordinating maintenancerequests, managing vendor relationships, maintaining office, coffee, and stationary supplies and inventory, and placing orders as necessary. Scheduling and coordinating Saskatoon office meetings, events, and travel arrangements. Coordinating onboarding and offboarding of new staff, including initial orientation, setting up workstations and ensuring necessary paperwork is completed and routed to the relevant parties to ensure a smooth transition. Maintaining an efficient and effective physical and digital filing system in line with Clifton's Quality Management System (QMS). Supporting, coordinating and collaborating on complex or special projects, as required. Assisting project managers with various project, document control, and procurement activities, including supporting the pre-qualification process for subcontractors, updating project budgets in our digital system, and management of digital project folder permissions. Miscellaneous front desk and general office duties, including answering telephones, greeting guests, managing outgoing and incoming shipments, etc., as required. Performing other duties, as assigned.
Required Qualifications and Experience

Entry-level to one (1) year of relevant professional work experience in an administrative role. High school diploma or equivalent (GED), a certificate or diploma in business or administration is considered an asset. Very organized, with a keen attention to detail and an ability to effectively handle multiple, conflictingpriorities, while effectively managing deadlines in the context of work/life balance. High level of proficiency with the Microsoft Office suite of products: Word, Excel, PowerPoint and Outlook. Knowledge of Zoom an asset. Experience and proficiency with Adobe products; InDesign, Illustrator, Photoshop an asset. Demonstrated effective interpersonal, verbal and written communication skills. Results oriented with an ability to take initiative, work independently, and collaborate as part of a team. Proven ability to conduct oneself in a professional and ethical manner, maintaining confidentiality while handling sensitive information. Continued attention to safety and safe work environments, with a strong workplace safety orientation.
