Your Opportunity
Our Transportation and Community Development practices have an immediate requirement for an Administrative Assistant in either our Saskatoon or Regina offices. The role of an Administrative Assistant is to work as a team member on roadways, bridge and culvert/hydraulic projects under the guidance of our project management and leadership teams. The Administrative Assistant will utilize their knowledge and experience to contribute to a variety of projects in an administrative and project support role.
In this position as an Administrative Assistant, you will provide support for the successful execution of projects and proposals through conformance to Stantec\'s ISO requirements, corporate policies, solid project management objectives, and client requirements and standards.
Your Key Responsibilities
Support Project Managers in following and complying with document control processes and procedures established for project functions including document tracking, deliverables scheduling and management, drafting and finalizing meeting minutes, RFIs, submittals, change logs and other communication tools.
Works closely with the project team to maintain a current and accurate understanding of project status, issues and changes.
Assist with project invoicing as required.
Assist in the preparation and review of documents such as: specification packages, reports, RFIs, minutes, submittals tracking, and other required documentation.
Coordinates project deliverables and schedules.
Prepares required project set up documentation.
Maintains document control best practices.
Follows record retention policies.
Assist with project auditing to ensure proper adherence to Stantec\'s Project Frameworks.
Perform clerical functions such as typing, filing, scanning, photocopying, courier and printing.
Travel coordination including booking flights, hotels and car rentals.
Prepare or assist with contract documents, letters, meeting minutes, spreadsheets, specifications, and report formatting to company standards as assigned.
Qualifications
Your Capabilities and Credentials
Prior experience working in engineering, architecture, or construction field is an asset.
Prior knowledge of documentation / revision control is required.
Prior work in documentation control / project assistant role is a plus.
Demonstrated ability to handle multiple priorities and assignments.
Excellent written and verbal communications a must.
Strong analytical skills.
Exceptional attention to detail, and resourcefulness.
Must have good interpersonal skills.
Must be able to successfully work both collaboratively and independently.
Experience with MS Office including Word, PowerPoint, Excel, and Access.
Education and Experience
Diploma in office administration with 5 years of administrative assistant experience in a consulting environment; experience within a consulting engineering or architecture professional environment is highly desirable.
Typical office environment working with computers and remaining sedentary for long periods of time.
