The Role
We are seeking a detail-oriented and organized Administrative Assistant to join our growing team. Reporting directly to the management team, you will be the backbone of our office operations, ensuring the smooth financial and administrative management of our construction projects. This is a hands-on role perfect for a proactive quick learner with strong computer skills who thrives in a dynamic environment and is eager to grow with the company.
Key Responsibilities
Financial Administration & Bookkeeping:
Create and send invoices, including progress and extra invoices, to clients using QuickBooks Online.
Track accounts receivable and perform follow-ups on overdue accounts.
Manage accounts payable, ensuring timely payments to vendors and subcontractors.
Compile, code, and process expenses and receipts accurately.
Assist with payroll data entry and timesheet tracking.
Generate key financial and job-costing reports for management.
Budget & Project Finance Tracking:
Monitor project budgets to ensure jobs remain within cost allowances.
Record change orders and track their financial impact on project budgets.
Provide regular cost-to-date vs. budget comparisons for project managers.
Contract & Document Management:
Prepare, organize, and manage contracts, proposals, and change orders using Word, Excel, PDF and Jobtread.
Maintain accurate and organized digital and paper filing systems.
Assist with the coordination of permits, compliance documents, and insurance certificates.
Administrative & Project Support:
Serve as a point of contact for clients, suppliers, and subcontractors regarding billing, payments, and documentation.
Support project managers with administrative tasks such as scheduling, issuing purchase orders, and tracking project progress.
Handle general office administration, including managing emails, scheduling meetings, and overall document control.
Requirements & Qualifications
Strong organizational skills and exceptional attention to detail.
Excellent communication skills and the ability to work both independently and as part of a team.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
A quick learner with strong computer skills and the ability to adapt to new software (Quickbooks and Jobtread).
Valid G license and ability to drive to our construction sites throughout downtown Toronto.
Nice to Haves
Previous administrative experience in a construction company or a related trade industry.
Hands-on experience with QuickBooks Online, Jobtread or other accounting software.
A diploma or certificate in office administration, bookkeeping, or a related field.
Work Environment
This is a hybrid position that offers flexibility. Our team works collaboratively, and this role will require you to be in our Richmond Hill office up to two days per week. We believe in working with a purpose, so in-office days are typically reserved for team meetings, training sessions, and collaborative projects.
