SignalChem is now expanding its capabilities and creating multiple new positions.



SignalChem Biotech Inc. is seeking a highly motivated and proactive Administrative Assistant to join our growing team and gain invaluable experience in an innovative, fast-paced environment. This is an exciting opportunity to support key business operations and contribute to the company's continued success.

Responsibilities:



Provide general administrative support, including filing, data entry, document preparation, and maintaining office systems. The efforts will directly impact the efficiency of day-to-day operations, making you an essential part of the team. Assist in the preparation and creation of detailed reports and presentations, ensuring clarity, accuracy, and alignment with business objectives, and formatting templates to ensure consistency across company documents and presentations. Oversee the scheduling and coordination of meetings, conferences, corporate events, and symposiums, ensuring all logistical aspects, including location, materials, and participant communication, are executed seamlessly. Actively participate in the Social Committee, helping to organize company events such as happy hours and other team-building activities. Manage multiple ongoing projects by organizing timelines, tracking progress, and ensuring that tasks are completed in a timely manner, contributing to the smooth execution of business operations. Oversee the maintenance and operational functionality of the office building, addressing issues related to building maintenance, security, parking, and ensuring a well-functioning environment for staff and visitors. Work closely with the Health and Safety Committee to monitor and maintain building-related safety and health standards, ensuring a safe, compliant, and well-maintained environment for all employees. Serve as the first point of contact for visitors and incoming communications, professionally managing inquiries and directing them to the appropriate departments. Oversee the inventory of office supplies, ensuring that all materials are readily available to support day-to-day operations. Organize and coordinate the visit of US employees, ensuring their needs are met and the event runs smoothly.

Requirements



A Bachelor's degree in Business Administration or a related field (or equivalent work experience). Strong organizational skills with the ability to handle multiple tasks and deadlines simultaneously. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite, project management tools, and data visualization platforms such as Monday.com and Canva is preferred. Ability to work independently and as part of a team. Proactive in identifying needs and finding solutions to improve operations and team efficiency. Organized with a strong ability to manage and prioritize tasks in a fast-paced environment.
This is a part-time position (2-3 days per week) with potential for full-time based on business needs and performance. Candidates may be required to complete technical skills testing as part of the hiring process.
