We are seeking a full-time Administrative Assistant to support clinic operations, assist the management team, and ensure the smooth and efficient running of administrative processes. This position offers an opportunity to gain valuable experience in healthcare administration and be part of a collaborative, patient-focused environment.
Key Responsibilities
Administrative Support
Provide administrative and clerical support to the clinic management team and clinicians.
Manage correspondence, emails, and phone calls in a professional and timely manner.
Maintain and organize electronic and paper filing systems, patient forms, and clinic records.
Prepare meeting agendas, take minutes, and follow up on action items.
Assist in scheduling meetings, appointments, and provider shifts.
Front Office & Communication
Greet patients and visitors, ensuring a welcoming and professional experience.
Support communication between administrative, clinical, and technical teams.
Coordinate with external vendors, suppliers, and healthcare partners.
Handle inquiries and route messages appropriately.
Operations & HR Assistance
Assist with onboarding new staff, including document preparation, account setup, and orientation.
Support HR documentation and compliance with BC Employment Standards.
Maintain office supply inventory and place orders as needed.
Assist with internal communications, announcements, and social media updates.
Technical & Billing Support
Support EMR data entry, template management, and requisition tracking.
Assist with MSP and private billing submissions under supervision.
Provide basic IT and equipment troubleshooting support.
Qualifications
Diploma or certificate in Office Administration, Medical Office Assistant, or a related field (or equivalent experience).
2-3 years of experience in a healthcare or administrative environment preferred.
Excellent organizational, communication, and multitasking skills.
Proficiency in Microsoft Office Suite and EMR systems (e.g., Plexia, Oscar, or similar).
Knowledge of BC healthcare operations and patient confidentiality (PIPA compliance).
Professional, reliable, and detail-oriented.
Fluency in English required; Mandarin or Cantonese language skills are an asset.
