Duties
Manage front desk operations including greeting visitors and answering multi-line phone systems with professionalism and courtesy.
Perform data entry tasks accurately and efficiently, maintaining organized records and filing systems.
Utilize Microsoft Office Suite and Google Workspace for document preparation, spreadsheets, and presentations.
Assist with bookkeeping tasks, including invoicing and managing accounts using QuickBooks.
Provide exceptional customer service by addressing inquiries and resolving issues promptly.
Support the team with clerical duties such as typing, proofreading documents, and managing correspondence.
Prepare, review, and file government-related documents as required.
Assist with food industry documentation, including export/import paperwork (training will be provided if needed).
Maintain confidentiality of sensitive information while ensuring compliance with company policies.
Collaborate with team members to improve administrative processes and enhance office efficiency.
Requirements
Proven experience in an administrative role preferred, but not required.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace.
Strong computer skills with the ability to learn new software quickly; familiarity with QuickBooks is a plus.
Excellent organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
Effective communication skills, both verbal and written, along with strong phone etiquette.
Previous experience in customer support or service-oriented roles is highly desirable.
Experience in a medical, dental, food, or export/import office setting is advantageous but not required.
Ability to work independently as well as part of a team while maintaining a positive attitude.
Willingness to learn new skills, including government paperwork and food/export-import documentation.
Fluency in English and Mandarin (both written and spoken).
