We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency in various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office workflow. Experience with medical or dental offices, QuickBooks, and Google Workspace is highly desirable. Responsibilities
Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
Manage multi-line phone systems and handle incoming calls with professional phone etiquette
Greet visitors at the front desk and direct inquiries appropriately
Schedule appointments, coordinate meetings, and maintain calendars
File documents both electronically and physically to ensure easy retrieval
Assist with bookkeeping tasks using QuickBooks and other accounting software
Support customer service efforts by responding to inquiries and providing support via phone or email
Proofread correspondence, reports, and other documents for accuracy and clarity
Support medical or dental office operations, including patient check-in/check-out processes and insurance documentation if applicable
Perform general clerical duties such as photocopying, faxing, mailing, and organizing supplies
Requirements
Proven clerical or administrative experience, preferably in a medical or dental office setting
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Experience with QuickBooks or bookkeeping is a plus
Excellent organizational skills with the ability to prioritize tasks effectively
Strong written and verbal communication skills with professional phone etiquette
Ability to handle multiple tasks simultaneously while maintaining attention to detail
Data entry skills with high accuracy and typing proficiency
Previous experience working at the front desk or handling multi-line phone systems is preferred
Knowledge of medical or dental office procedures is advantageous but not required
