Gabriel Housing Corporation, a non-profit housing corporation is seeking to fill the temporary fulltime position of Administrative Assistant. Reporting to the Manager, Finance & Administration, this position's primary role includes but is not limited to developing a professional working relationship with tenants, providing guidance and/or referral services to families and individuals encountering difficulties with housing or housing related matters.
The ideal candidate will have excellent oral and written communication skills and be familiar with the culture of Aboriginal people, more specifically, Metis people. The successful candidate must have strong public relations, organizational and communication skills, ability to work independently with no supervision and the ability to work as a team player and be proficient in using all Microsoft Office products including Outlook, Excel, Word and Power Point and Windows 10.
Dealing with tenants, contractors and the public
Ensures the files and filing systems are maintained and current
Provides administrative assistance to all Corporation departments
Data entry into Property Management system
Answers incoming inquires, handles all inquiries in a mature and businesslike manner and directs the inquiry to the appropriate staff
Accepts rent payments, ensuring the tenant name, address and unit # is on all payments and records them in the payments received book, issues receipts if required immediately, forwards all payments in unit # to the Manager
Assists the Manager of Finance and Administration with other various financial and reporting functions
Assist in the management of the Corporations e-mail
Ensures incoming mail is opened (unless marked as confidential), date stamped and distributed to the appropriate staff and ensures outgoing mail is stamped and delivered to a mailbox or picked up by the letter carrier
Working knowledge of word processing, spreadsheets and databases to prepare memos, letters, reports and documents
Be familiar with and capable of using all types of office equipment including but not limited to computers, photocopier/scanner, fax machine and postage machine
Knowledge of an office environment, computers and software is required and should have good public relation skills. Minimum typing speed WPM 35.
