About the Role
The Administrative Assistant provides direct administrative and communication support to the Chief Executive Officer in a fast-paced, dynamic environment. Responsibilities vary daily and include inbox and calendar management, travel coordination, routine administrative tasks, and ad-hoc support as required.
The role also involves accurately preparing emails, documents, and strategic materials based on CEO dictation, requiring strong listening skills, attention to detail, and clear written communication.
This position requires professionalism, discretion, sound judgment, and absolute trust in handling confidential information, while operating under the overall direction of the CEO.
Key Responsibilities
Draft, type, and format emails, correspondence, and executive-level documents from real-time and recorded verbal dictation, including during calls and meetings.
Manage the CEO's inbox and exercise sound judgment to prioritize, flag, and escalate time-sensitive matters
Proactively manage the CEO's calendar, scheduling meetings and ensuring alignment with priorities
Coordinate and book business travel, including flights, accommodations, and itinerary management
Act as a gatekeeper for the CEO's time by screening requests, communications, and meeting invitations
Take notes during meetings or calls and prepare follow-up correspondence and action items
Track follow-ups, reminders, and commitments on behalf of the CEO to ensure timely execution
Maintain secure organization of confidential documents and executive correspondence
Provide day-to-day executive and administrative support to the CEO in a fast-paced environment
Qualifications
Required
- 3 - 5 years of administrative or office support experience
- Excellent proficiency with Microsoft Office or Google Workspace
- Strong organizational skills and attention to detail
- Professional written communication skills
- Ability to accurately transcribe and format documents from verbal dictation
- Strong time-management skills with the ability to manage shifting priorities
- Comfort working independently with minimal supervision
- Strong listening skills and ability to translate verbal direction into polished written output
Preferred
- Experience in a professional or corporate office environment
- Experience supporting a CEO, Founder, or C-suite executive in a fast-paced environment
- Experience drafting or formatting executive-level correspondence or internal documents
- Familiarity with remote executive support and virtual office tools
- Exposure to publicly traded companies or regulated environments
- Experience working across multiple affiliated entities or business lines
- Familiarity with booking business travel

Compensation
$60,000 - $70,000 annually, commensurate with experience. Benefits available.
