Position Overview
Reporting directly to the General Manager, the Administrative Assistant provides vital administrative and clerical support to both office and field teams. This position is key to ensuring daily operations run smoothly and efficiently.
This is a temporary, full-time position for approximately 6 months, with the possibility of extension or permanent employment based on business needs and performance.
As the first point of contact for customers and team members, the Administrative Assistant represents the company's professionalism, organization, and commitment to excellence. The ideal candidate is detail-oriented, adaptable, and able to thrive in a fast-paced, dynamic environment where priorities can shift daily.
Key Responsibilities
Greet and assist customers, team members, and visitors in a professional and friendly manner
Answer and route incoming calls using a multi-line phone system
Maintain accurate customer records, files, and databases
Manage office organization, supplies, and mail distribution
Perform data entry and support bookkeeping functions, including Accounts Payable and Credit Card transactions
Review and respond to customer reviews via Swell
Support scheduling, permitting, warranty registration, and job documentation processes
Maintain meeting minutes and assist with planning in-house or off-site events
Provide general administrative assistance to the General Manager and Office Administrator
Ensure a clean, organized workspace and uphold company image and culture
Maintain confidentiality and act in alignment with the company's mission, vision, and core values
Balance multiple tasks and responsibilities simultaneously while proactively anticipating upcoming needs and supporting field and office teams
Communicate effectively with both customers and technicians, ensuring clarity and professionalism in all interactions
Qualifications / Desired Skills
Valid Driver's License
Certificate or diploma in Office Administration (or equivalent experience)
Previous administrative experience (2-3 years of practical experience, ideally in a trades or service environment, is an asset)
Strong data entry and general math skills
Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software
Excellent attention to detail and organizational skills
Strong multitasking and adaptability; able to handle shifting priorities and support both office and field needs efficiently
Excellent customer service and communication skills, both verbal and written
Comfortable asking questions, receiving feedback, and acknowledging mistakes as part of a learning and growth mindset
Proactive and solution-oriented; able to anticipate challenges and adjust plans as needed
Ability to work independently and collaboratively as part of a team
Comfortable lifting up to 50 lbs and sitting/standing for extended periods
Work Schedule
Monday-Friday, 8:00 AM to 4:30 PM (30-minute lunch break)
Additional hours may be required based on workload and project needs
This role is expected to last approximately 6 months, with the potential for extension depending on company requirements and performance.
