Job Description

We are currently seeking an experienced and customer service-oriented Administrative Assistant for our Quebec City, QC office. This is a full-time position. As an Administrative Assistant, you will be an active team member of the overall administration team and its daily operations. The role involves answering incoming calls from clients to gather medical information, respond to inquiries and questions, troubleshoot problems and provide information as well as various administrative tasks within the office. The successful candidate must be extremely self-motivated, organized and passionate about adding value to the clients, team and company as a whole. Key Responsibilities \xc2\xb7 Answer telephone, screen and direct calls to the appropriate departments \xc2\xb7 Respond to emails in a timely manner \xc2\xb7 Communicate with new and existing clients to complete a medical questionnaire, ensuring the accuracy/timeliness of the information. This information is used by the insurance agents (sales team) to provide quotes to their clients. \xc2\xb7 Document all call information according to standard operating procedures \xc2\xb7 Enter new client information as well as update existing client information into computer database system \xc2\xb7 Manage and resolve client concerns and complaints as well as identify and escalate priority issues when required \xc2\xb7 Follow-up with client calls where necessary \xc2\xb7 Process orders, forms and applications \xc2\xb7 Provide other administrative support to staff Key Competencies \xc2\xb7 Strong knowledge of customer service principles and practices and able to deal with a mature clientele \xc2\xb7 Strong individual and team player with a positive attitude \xc2\xb7 Demonstrated ability to adapt to change with a forward-thinking mindset, offering solutions and creative thinking \xc2\xb7 Strong skills in communication (verbal, written and listening), time-management, multi-tasking, organization, attention to detail, problem analysis/solving and overall work ethic \xc2\xb7 Self-motivated and able to work under pressure within a fast-paced environment Education/Knowledge/Experience \xc2\xb7 Fluent in English (Bilingual French an asset) \xc2\xb7 Administrative and office experience (or relevant experience) \xc2\xb7 Basic understanding of the insurance industry an asset \xc2\xb7 High school diploma or equivalent preferred \xc2\xb7 Can operate a multi-line phone system \xc2\xb7 Very proficient computer skills and working with various computer programs/applications (Microsoft Outlook, Word, Excel and Power Point) \xc2\xb7 Accurate/thorough data entry and typing skills Our business hours of operation are Monday to Thursday 9:00 am \xe2\x80\x93 5:00 pm, Friday 9:00 am \xe2\x80\x93 4:00 pm. Hours may vary upon the needs of the company. Job Type: Full-time Salary: From $19.00 per hour Benefits:
