Performs as an Administrative Assistant to the Director: Interprofessional Practice, Research and Education. The role also supports the administrative responsibilities for the Education Fund Program. All roles are essential in providing a safe and healthy environment for patients, staff, physicians, volunteers and others by ensuring that health and safety policies are followed. In addition, under the guidance and direction of the Manager, Center for Education; coordinate the education development fund and awards including:

  • Act as the main point of contact for all applicants applying for Education Development fund
  • Review all submissions to ensure established criteria and guidelines are adhered to
  • Organize and manage records of all submissions, including applications, adjudication process, approvals, denials, reports, and other related documents
  • Prepare financial disbursement documents and grant applications
  • Coordinate other hospital awards as required
On a practical level, you will
  • Provides administrative support to the Program Director, and as required to program leadership staff.
  • Coordinate efforts across cross functional/program teams to ensure timely delivery of necessary material.
  • Co-ordinates program activities under the guidance of the Director.
  • Effective management and respond to information and/or document requests.
  • Compiles and disseminates material/documents related to programs activities.
  • Manages confidential information in a sensitive and professional manner.
  • Complies with Occupational Health and Safety Standards.
  • Coordinate and plan meetings including preparation of agendas, minutes, work plans and project charters.
  • Maintain payroll information in Kronos.
  • Performs other duties as required.
QualificationsQUALIFICATIONS REQUIRED:
  • Secretarial Courses or diploma or certificate in Office Administration.
EXERIENCE REQUIRED:
  • Recent experience with a variety of computer applications, i.e., Microsoft word, spreadsheets, PowerPoint, graphics.
  • Extensive calendar management experience.
  • Experience with database development and management (i.e. Access).
  • At least four years in a senior administrative assistant position.
QUALIFICATIONS PREFERRED:
  • Undergraduate degree.
  • Recent Courses in Computer Applications, including Outlook, WORD, Excel, Access, Visio.
  • Previous electronic payroll experience.
REQUIRED SKILLS:
  • Excellent organizational and problem-solving skills.
  • Excellent interpersonal and customer service skills.
  • Knowledge of computer applications, i.e., word processing, spreadsheets, graphics.
  • Demonstrated knowledge/skill at an advanced level of computer software, e.g., Word, Excel, PowerPoint, Access, Visio.
  • Excellent written and verbal communication skills.
  • Ability to work independently.
  • Accurate minute taking skills, filing.
  • Accurate keyboarding, word processing skills-minimum 55 wpm.
  • Ability to utilize standard office equipment and order routine supplies.
  • Ability to prioritize, multi-task and effectively manage time and balance schedule of Program Director.
  • Resourcefulness and ability to adapt in response to Program's needs.
  • Knowledge of Medical terminology an asset.
  • Bilingualism in French/English preferred.
