We are seeking a highly organized and professional Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth daily functions. This role requires excellent communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. Must have computer level 3 skills. The Administrative Assistant will serve as the first point of contact for clients and staff, managing correspondence, scheduling, and administrative duties with professionalism and attention to detail.
Duties
Manage front desk operations, including greeting visitors and answering multi-line phone systems with proper phone etiquette
Handle calendar management and scheduling for executives or team members
Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other relevant software
Assist with bookkeeping tasks using our custom programs
Support office management tasks such as organizing supplies, proofreading documents, and maintaining office equipment
Provide customer support via phone, email, or in person, ensuring excellent service standards
Coordinate appointments and meetings, including calendar management for multiple stakeholders
Support personal assistant responsibilities as needed, including travel arrangements or special projects
Maintain confidentiality of sensitive information and ensure compliance with company policies
Requirements
Proven experience in an office environment with clerical or administrative responsibilities
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Experience with QuickBooks or bookkeeping is preferred
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong written and verbal communication skills; bilingual abilities are a plus
Knowledge of front desk procedures, multi-line phone systems, and office management practices
Attention to detail with proofreading and document review capabilities
Ability to demonstrate professional phone etiquette and customer service skills
Prior experience as a medical or dental receptionist or personal assistant is advantageous
Time management skills to prioritize tasks efficiently and meet deadlines

Pay: $22.00-$25.00 per hour
