Term of Employment
12-month full-time (31 hours/week) contract, intended to become a permanent position pending funding.
Rate of Pay
$38,000 - $46,000 annually, commensurate with experience.
Location
Work is primarily remote, with occasional travel to our Oshawa storage facility.
We're seeking a highly organized, proactive Administrative Assistant to help keep our operations running smoothly. You will support the Administrative team to coordinate internal processes, support project delivery, and enhance team communications.
This is a great fit for someone with an administrative background who enjoys organizing, problem-solving, and finding more efficient ways to improve workflows.
Specific Responsibilities
The Administrative Assistant will work closely with and provide direct support to the Operations Manager, assisting with a wide range of tasks across the following areas:
Operations & Logistics Support
Field equipment inventory and vehicle scheduling
Equipment check-in/check-out procedures and tracking systems
OneDrive file organization and accessibility
Project and client tracking tools
Administrative Support & Policy Development
Updating internal policies and onboarding materials
Maintaining internal guidance documentation for administrative processes
Developing checklists and guidance documents to streamline workflows
Updating templates, CVs, and branding materials
Website content updates and basic communications support
Event Planning & Staff Support
Logistics coordination for staff retreats, training, and special events
Tracking staff certifications and arranging training sessions
Coordinating general employee needs and requests
Project Proposals & Funding
Monitoring bid/tender portals and keeping company profiles current
Identifying and applying for internship funding opportunities
Standardizing and streamlining proposal and grant application processes
Required Skills
Demonstrated reliability and consistent follow-through on assigned tasks, with minimal need for supervision or reminders
Proven ability to take initiative, anticipate needs, and identify opportunities to improve processes
Strong organizational skills and attention to detail, with the ability to manage multiple priorities effectively
Clear and timely communication with team members regarding task progress, updates, and challenges
Strong interpersonal skills, including the ability to work collaboratively, build positive relationships, and maintain a professional yet approachable demeanor
Adaptable, with a positive attitude and the ability to remain composed and solution-focused in a dynamic work environment
Familiarity with tools such as Microsoft Office, Teams, Asana, OneDrive, and Adobe, or willingness to learn

Beneficial Assets
While not required, the following would be considered strong assets:
Previous experience in administrative coordination or planning logistics

A genuine interest in or experience working within environmental, conservation, or science-focused organizations
