Job Description

Approximately a 3 month position with the possibility of it being extended. Working at the University of Windsor, previous experience an asset. This position provides operational and administrative support for the development and implementation of organizational development, training and anti-racism organization change activities/programs and projects.
Key Job Functions * Administrative Support - Initiatives and Projects
Supports Organizational development and anti-racism organizational change initiatives which includes:

  • Coordinates logistical and operational administrative tasks.
  • Searches, gathers, and compiles information on various topics.
  • Drafts documents such as reports, guides, communication, and educational materials as directed
  • Proofreads and edits documents and other materials as required.
  • Creates web-based surveys and other web-based data gathering processes based on content provided and exporting and compiling the information.
  • Compiles information gathered through focus groups, think tanks, and facilitated processes.
  • Generates reports form internal external/internal survey and other platforms.
  • Preliminary analysis/sorting of qualitative and quantitative data.
  • Explore and identify potential grant funding opportunities and assist with the proposal/application development process.
  • Promotes initiatives/projects at internal fairs/events
  • Administrative support to the Director, Organizational Development & Training and the Director, Anti-racism Organizational Change
  • Greets visitors/students, answer calls/general inquiries and directs them accordingly
  • Provides confidential referrals to students to campus services as required.
  • Liaises with departments and external organizations to support initiatives.
  • Coordinates appointments/meetings, take minutes/notes and transcribe
  • Maintains records and electronic filing system.
  • Maintains Committee records (correspondence and documents), assists in the distribution and preparation of committee documents as required (agendas, minutes/meeting notes, supporting documents) and track/document committee decisions and attendance.
  • Creates and maintain e-mail distribution lists
  • Provides operational/administrative support for the implementation of EDI related events
  • Assists in processing expenses and student, part-time and temporary employee payroll
  • Creates web content including images and maintain the EDI website
  • Supports the recruitment, hiring, onboarding of student employees/placements and act as a resource person for students and placements
  • Provides logistical support for the transition and office set-up of new employees
  • Monitors and orders supplies as required
  • Makes arrangements for office/equipment maintenance/repairs.
  • Administrative Support - Training, Development & events
Supports Training activities, facilitated processes, leadership development initiatives and events which includes:
  • Coordinates the training/event schedule
  • Liaises with trainers/speakers
  • Collates feedback and preliminary analysis
  • Coordinates logistics including:
  • Secures locations
  • Coordinates registration processes and acts as a contact person for participants
  • Drafts and send communication e-mails and outlook invitations
  • Prepares registration lists, sign-in forms, feedback forms and materials.
  • Ensures trainers/facilitators/speakers have the tools and materials required to deliver the sessions
  • Prepares training and other materials/packages for participants
  • Secures the technology required and familiarize with the technology (including hyflex) to support delivery.
  • Provides administrative/logistical support for the delivery of leadership development activities such as Manager's Forum and Strategic Leadership Forum
Skills/Knowledge/Experience/Education required
Essential Qualifications
  • Post-secondary degree or diploma in a relevant discipline and/or experience as it relates to the duties of the position
  • Knowledge and practical application of the principles of equity, diversity, and inclusion; anti-racism and anti-oppression approaches as it relates to the duties of the position
  • High degree of cultural competency and experience working with marginalized and historically underrepresented groups.
  • Practical experience, gathering, and summarizing information as well as composing, proofreading, and editing documents on a wide range of topics and formats such as reports, guides, communication, and educational materials, PPT presentations and project summaries.
  • Knowledge of evaluation approaches and data collection methods as well as experience conducting preliminary analysis of quantitative and qualitative data.
  • Advanced proficiency in the use of web-based survey platform such as Qualtrics
  • Advanced proficiency in the use of technology to create and maintain web pages such as Drupal.
  • Advanced computer skills including Excel, Word, PowerPoint, Outlook, PDF editor, Teams, etc.
  • Strong communication (oral and written) and interpersonal skills and experience working with committees and taking minutes
  • Strong organizational, multi-tasking and time management skills including ability to adapt quickly to a flexible and dynamic work environment
  • Demonstrated tact, diplomacy, sound judgment, attention to detail.
  • Well-developed analytical and critical thinking skills.
  • Ability to handle and protect confidential information.
  • Ability to work independently with limited supervision and as part of a team.
