Job Overview



We are seeking a reliable and detail-oriented Administrative Assistant & Order Processing Associate to join our team in a dynamic environment that is half office and warehouse. In this role, you will be the first point of contact for customers--greeting visitors, answering inquiries, and delivering exceptional service--while also handling order entry, invoicing, and general administrative support. Your strong product knowledge and organizational skills will ensure that orders are processed accurately and efficiently, helping us maintain a smooth workflow from order to delivery.

The ideal candidate is someone who thrives in a fast-paced, hands-on environment and can comfortably switch between customer service tasks and administrative duties.

Responsibilities:



Create, process, and manage client invoices accurately and in a timely manner using

QuickBooks

Answer incoming phone calls and emails, providing professional and courteous assistance to clients, vendors, and internal staff Deliver excellent customer service by addressing client inquiries, resolving issues, and providing help when necessary Maintain organized company files and documentation, both digital and physical, to support efficient operations and record-keeping Strong product knowledge of items, accessories and tools within the HVAC, refrigeration, and trades (not mandatory to have prior hand as a pre-requisite)

Skills



Highly proficient in Microsoft Word & Excel Strong QuickBooks knowledge Excellent organizational skills Effective time management skills to prioritize tasks efficiently. Strong phone etiquette and customer service skills to handle inquiries professionally.

Requirements



Proven experience in an administrative, customer service, or order processing role (1-3 years preferred) Strong organizational skills with the ability to manage files, records, and data with accuracy and confidentiality Proven experience using Microsoft Word, Excel, and Outlook High school diploma or equivalent (Associate's degree or administrative training is a plus)
Job Type: Full-time

Pay: $17.20-$22.00 per hour
