Administrative Assistant - Operations

Supporting the Lower Mainland Operations Manager, you will provide administrative support to our Operations Department including scheduling and coordinating meetings, making travel arrangements, assisting with new employee onboarding and providing support for staff events and training sessions.

We are looking for someone who is a skilled communicator with exceptional attention to detail. An individual that brings a positive attitude, who shares our passion for what we do, who is confident in their abilities and who can keep us on track!

Your day-to-day duties will include:

  • Responding to general enquiries and acting as a general receptionist, gathering information in relation to internal and external complaints, questions or issues and advising appropriate supervisor or manager
  • Updating operations employees training status records and setting up new employee profiles for onboarding
  • Managing logistics and liaising with People and Culture for new and returning employee onboarding including, supporting NEO\'s, assigning of headsets and creation of welcome announcements
  • Gathering, compiling and summarizing a variety of information and findings of both a statistical and narrative nature, preparing related material and reports, and maintaining a variety of statistics and records for the department
  • Providing information, assistance and explanations regarding departmental activities, policies and procedures to a variety of internal and external contacts
  • Processing incoming mail and external corporate mail outs while keeping mailing and contact lists current
  • Ordering and maintaining a department inventory of supplies and equipment supporting day-to-day Operations.
  • Providing support in the organization of staff events, training sessions and other activities by scheduling meeting dates, booking venues, organizing materials for distribution, tracking and maintaining wait list, and processing training requests and records
  • Supporting operations with administrative tasks associated with operations evacuations (planned and unplanned) including but not limited to, planning support and coordination.

What you will bring:
  • Completion of high school diploma or equivalent supplemented by office administration courses, plus sound related experience or an equivalent combination of education, training and experience.
  • The ability to multitask and juggle multiple competing priorities
  • Strong organizational, analytical and problem-solving skills with high attention to detail
  • Driver\'s license and vehicle is required.

Security Clearance
As a condition of employment at E-Comm, the required Police Security Clearance applicable to the position must be acquired and maintained. This is a process carried out by our law enforcement partner agencies, facilitated by E-Comm.

The minimum residency in Canada to qualify for this position, as established by our law enforcement partner agencies, is roughly 3 to 5 years.

To qualify for this process, a candidate may be either a Canadian Permanent Resident or Canadian Citizen. We regret any candidates under Student, Visitor, or Work Visas are not eligible for consideration.

Vaccination Policy:

E-Comm 911 has a vaccination policy that is currently suspended. However, should the policy be reinstated, it will be a requirement for all current and future employees.
