We are seeking a highly organized, detail-oriented
Administrative Assistant
to support our On-Site Manager and Owner Services team at Arbutus Ridge. The ideal candidate is a self-starter with strong communication skills, proficiency in Microsoft Office, and a solid foundation in administrative tasks. This role is ideal for someone who thrives in both independent and collaborative environments and takes initiative to improve daily operations.
Key Responsibilities
Administrative Support
Monitor and maintain the PowerStrata system (training provided)
Assemble Welcome Packages and manage new owner information
Update the Arbutus Ridge website and monthly directory
Distribute correspondence via PowerStrata
Prepare and edit spreadsheets, letters, invoices, and presentations
Track and maintain office supplies inventory
Documentation & File Management
Collect and organize documents required by the Strata Property Act (Forms K, C, Owner Info, etc.)
Manage and track keys and associated refunds
Sort, file, and maintain electronic and physical records (SharePoint)
Financial & Maintenance Support
Handle petty cash and complete monthly reconciliations
Assist the Maintenance department with documentation and application forms
Customer Service & Owner Relations
Answer phones and assist owners, clubs, and community members
Respond to inquiries and route messages professionally
Manage owner onboarding and offboarding processes
Follow up on bylaw infractions when required
Event & Communication Coordination
Assist in planning and executing community events (e.g., Canada Day, AGM)
Oversee room rental bookings and logistics
Collect payments and manage advertising contracts for Ridge Talk and other publications
Check and manage internal mailboxes
Qualifications
Minimum 3 years of experience in a business administrative role
Grade 12 diploma or equivalent required
Strong communication skills (written and verbal)
Excellent time management and ability to meet deadlines
Proficient in Microsoft Word, Excel, and Outlook; ability to learn new software
Familiarity with bylaws, rules, and policies (training provided)
Experience with petty cash handling and reconciliations is an asset
