The Administrative Assistant is responsible for general reception and administrative supports. Duties require sensitivity towards the resident/family experience and accountability to safeguard confidential material.
Liaise closely with the hospice multidisciplinary team and practice in accordance with established policies, procedures and standards ensuring resident and family safety is a priority.
Position Responsibilities Include:
Interacts sensitively with residents, families, and visitors
Manages iLobby and directs visitors
Answers the phone in a professional manor and directs calls appropriately
Assists with answering call bells and directs resident/family needs to the appropriate clinical team member
Makes coffee and stocks kitchen supplies
Photocopies/faxes as needed
Emails Team Lead schedules
Oversees hospice mail, including drop off and pick up
Orders office and printing supplies, as needed
Schedules and maintains room bookings
Coordinates room booking payments
Manages and tracks patient surveys
Assumes other related duties assigned by the Clinical Manager
Strong organizational, administrative, and analytical skills
Strong interpersonal and conflict management skills
Intermediate computer knowledge, including MS office suite
Grade 12 or equivalent
Previous reception/administrative education and experience are considered an asset
Employment is subject to a negative criminal record check/vulnerable sector check

Ability to represent the Hospice in an appropriate manner
Have knowledge of, and be sensitive to religious, ethnic and cultural diversity
Must have good communication skills both verbally and non-verbally and the ability to deal with people in crisis in a mature and non-judgmental manner
Must have the ability to maintain a feeling of peace and comfort in the Hospice
Ability to recognize the need for self-care in the Hospice workplace
