Executive Assistance to the Managing Director :
Manage and organize all of the Managing Director's activities, including meetings, calls, agendas, appointments, and travel arrangements.
Take notes during meetings and provide attendees with detailed summaries afterward.
Ensure the Managing Director's expenses are submitted monthly by proactively collecting and requesting receipts, entering expenses into the database, and preparing reports for submission.
Ensure invoices for corporate VISA charges are submitted to the accounting department.
Prepare and organize presentations for leadership meetings, business reviews, and other internal or external meetings.
Plan, schedule, and coordinate logistics for company-wide team events, lunches, or dinners.
Office Management :
Monitor office supply inventory and place orders as needed.
Serve as the main point of contact for office-related vendors, building management, maintenance, telecom services, shipments, and deliveries.
Assist HR and Marketing with corporate events, contests, and conferences as needed.
Manage the corporate gift card account and distribute funds to the team as required.
Ensure all common areas remain clean and organized.
Support for SR&ED/Grants Departments :
New Signings Management: Update delivery engagement details, create milestones in Kimble, and assign ownership for each engagement.
P5 Validation: Generate monthly reports on newly created opportunities in Kimble, validate Salesforce P5 values, and review them with the manager for accuracy.
Forecasting & Benchmarking: Track milestone completion and invoicing through monthly reports to support financial planning and meetings. Ensure all data is accurate.
Ownership & Approval Rights: Generate reports on delivery elements to confirm accurate approval rights as new elements are added.
Data Maintenance: Regularly review and clean Kimble data to maintain accuracy.
Marketing & Lead Generation Support: Extract and merge data from Salesforce and Kimble to create targeted lead generation lists and support Pardot marketing campaigns.
Qualifications
------------------
You have:
Minimum 5 years of administrative experience in a professional, client- service driven and fast-paced environment.
Demonstrated aptitude to prioritize tasks based on comparative importance and urgency.
Outstanding communication skills both written and verbal.
Ability to work with minimal supervision and direction.
Excellent knowledge of Microsoft Office use (Word, Excel, PowerPoint)
Able to manage multiple deadlines and tasks simultaneously.
Excellent organizational skills.
Ability to work with and manage confidential information.
Take the lead attitude, thinks ahead by proactively anticipating future needs and works independently.
